Job Summary: The Plant Secretary will play a crucial role in providing administrative support.

Key Duties and Responsibilities:

Front Desk Management:

• Efficiently and promptly handle office visitors and maintain a visitor register.
• Maintain positive customer care and relationships between stakeholders and the Company.
• Handle incoming calls and screen communications.
• Manage access to the PM/HOD/Manager’s office, ensuring authorized access and safekeeping of keys.

Secretarial Matters:

• Prepare minutes for meetings with the PM/HOD/Manager.
• Draft company memos and letters as directed/requested.
• Maintain an efficient record-keeping and filing system.
• Manage incoming and outgoing mail/messages for the PM/HOD/Manager.
• Maintain a contacts database of key stakeholders.
• Ensure office cleanliness and adherence to housekeeping standards.

Administrative Services:

• Handle arrangements for company visitors from abroad, including letters of invitation, travel, and accommodation bookings.
• Book, confirm, and process payments for PM/HOD/Manager & their families’ air travel, car hires, hotel bookings, and visa applications.
• Ensure consistent availability of office supplies (Stationery & refreshments).
• Arrange and book meetings, conferences, Reviews, ensuring timely facilities and refreshments.
• Ensure all office equipment (e.g. printers, projectors) is in good working condition.
• Manage any departmental arrangements for events such as birthdays, anniversaries, births, and deaths.
• Manage PPE receipts and issuing.
• Filing and safe custody of company documents.

Budgets & Spend Analysis:

• Prepare and/or contribute to the preparation of the plant’s budget.
• Manage departmental spend, ensuring costs are correctly posted and handled.
• Prepare updates on PM’s departmental spend where required.
• Follow up and process all housing bills (Rent, Electricity, Water, and Refuse).
• Process all outstanding accountabilities for the PM/HOD/Manager.
• Process and ensure all inter-company recharges are done where applicable.

Drivers & Vehicles:

• Manage departmental drivers’ schedules, goals, leave, and overtime.
• Process drivers’ claims in the system (car wash, transport refunds, lunch).
• Maintain a log of all department/pool vehicle mileage and maintenance.

VPO (Visual Plant Operations):

• Actively participate in driving VPO routines for the plant.
• Support in compiling VPO reports & updates.

General:

• Perform any other duties as may be assigned from time to time.

Qualifications, Skills, and Experience:

• A good degree from an accredited institution.
• A valid driving license is a bonus.
• One year of experience in a manufacturing environment.
• General office skills practice, secretarial, and administrative practice.
• Trained in advanced computer applications (COSWIN, SYPRO, SAP, Flow centric).
• Excellent communication skills.
• Knowledge of problem-solving and negotiation skills.
